The rules for using CFPWA online services, public information, member resources, events, and communication channels.

These Terms of Use explain the rules for using cfpwa.org, the CFPWA website, member portal, public information pages, event registration features, resource downloads, CRM-supported inquiry features, contact forms, news features, and related online services, together referred to as the "Service".

By accessing or using the Service, you agree to follow these Terms. If you use the Service on behalf of a member association, agency, organisation, partner, or other entity, you confirm that you are authorised to do so and to bind that entity where applicable.

1. Purpose of this Website

CFPWA provides this website to:

  • Share information about the Federation's mission, leadership, members, events, news, and welfare initiatives.
  • Provide public, member-only, and leadership-only resources.
  • Receive inquiries from members, partners, and the public.
  • Coordinate CRM follow-up tasks, contact records, and organisational communication for legitimate CFPWA purposes.
  • Support coordination among police welfare associations across the Caribbean.

This website is not an emergency reporting system, police dispatch service, legal advice service, medical service, or confidential intelligence channel.

2. Eligibility and Acceptable Use

You agree to use the website lawfully, respectfully, and only for appropriate CFPWA, welfare, membership, event, informational, or public-interest purposes.

The Service is intended for adults, CFPWA member associations, officers, welfare representatives, authorised contributors, partners, event participants, and public stakeholders.

The Service is not intended for children to create accounts or submit personal information.

3. User Accounts and Security

To access certain features of the Service, you may be required to register for, receive, or be assigned an account. Some services are restricted to approved members, association representatives, leadership, editors, data-entry users, or administrators.

  1. Accuracy: You agree to provide accurate, current, and complete information during registration, account setup, member administration, event registration, inquiry submission, and any other interaction with the Service.
  2. Account Safety: You are responsible for maintaining the confidentiality of your account credentials, passwords, sessions, and two-factor authentication codes. You are responsible for all activity under your account unless applicable law provides otherwise.
    You agree to notify CFPWA immediately at [email protected] if you believe your account, credentials, device, or authorised access has been compromised.
  3. Termination or Suspension: CFPWA may approve, suspend, limit, disable, or remove accounts or access at its discretion, with or without notice, where necessary to protect the Service, members, associations, confidential resources, legal compliance, security, or the integrity of the Federation, including where conduct violates these Terms.

4. Prohibited Activities

You agree not to use the Service for any unlawful purpose or in any way that could damage, disable, overburden, impair, or interfere with the Service, CFPWA, member associations, officers, families, partners, or other users.

Prohibited behaviour includes, but is not limited to:

  • Engaging in automated use of the system, including scripts, spiders, crawlers, bots, scraping, harvesting, or data-extraction tools, unless CFPWA has expressly authorised it in writing.
  • Using the Service to submit false, misleading, defamatory, abusive, discriminatory, harassing, threatening, stalking, fraudulent, obscene, or unlawful content.
  • Uploading viruses, malware, scripts, corrupted files, malicious code, or content intended to disrupt the Service.
  • Attempting to bypass login controls, role permissions, signed links, two-factor authentication, rate limits, access restrictions, or other security measures.
  • Impersonating another person, member association, agency, organisation, officer, CFPWA representative, or entity.
  • Scraping, harvesting, or misusing member data, contact details, CRM information, resource files, event information, or inquiry records.
  • Sharing confidential police operations, active investigation details, sensitive personnel information, medical records, disciplinary materials, national security information, or protected government information through public forms.
  • Using CFPWA content, member resources, or contact information for commercial exploitation, political manipulation, harassment, fraud, spam, or any purpose that may harm officers, families, member associations, partners, or the Federation.

5. Member Resources and Restricted Materials

Resources may be marked for public access, member access, leadership access, or other restricted access.

Restricted resources are provided for legitimate police welfare association work and must not be forwarded, republished, sold, posted publicly, uploaded elsewhere, or used outside their intended purpose without written permission from CFPWA or the rights holder.

Access to a resource does not transfer ownership, copyright, confidentiality rights, or permission to redistribute it.

6. Information and Content You Submit

If you submit an inquiry, RSVP, document, image, link, article, or other material, you confirm that:

  • The information is accurate to the best of your knowledge.
  • You have permission to submit it.
  • It does not violate confidentiality duties, privacy rights, copyright, court orders, employment obligations, operational security, or applicable law.
  • CFPWA may use it to respond, administer events, manage resources, publish authorised content, or operate the website.

CFPWA may remove, edit, refuse, or archive submitted content where necessary for accuracy, safety, security, legal compliance, accessibility, or brand integrity.

7. Third-Party Links and Content

The Service may contain links to third-party websites or services that are not owned or controlled by CFPWA, including external news articles, member association pages, social media pages, event platforms, maps, video meeting tools, and other third-party services.

CFPWA has no control over, and assumes no responsibility for, the content, privacy policies, security, availability, accuracy, or practices of third-party websites or services.

You acknowledge and agree that CFPWA is not responsible or liable for any damage, loss, exposure, reliance, or dispute caused or alleged to be caused by your use of third-party services or external content.

8. Intellectual Property

Unless otherwise stated, CFPWA owns or is authorised to use the text, design, branding, graphics, page structure, and original materials on this website.

Member associations, contributors, photographers, speakers, and external sources may retain rights in their respective content.

You may view and download permitted materials for personal, internal association, welfare, educational, or official CFPWA-related use.

Any other copying, republication, modification, resale, mass distribution, or public posting requires written permission.

9. Events and Registrations

Event information is provided for planning and communication. CFPWA may update event dates, venues, online meeting links, speakers, eligibility, registration rules, or attendance requirements.

Registration does not guarantee admission where capacity, eligibility, security, or operational restrictions apply.

10. No Professional Advice

Website content is provided for general information and welfare coordination. It is not legal, financial, medical, counselling, employment, policing, operational, or professional advice.

You should seek appropriate professional or official guidance before acting on matters that require specialist advice.

11. Disclaimer of Warranties

The Service is provided on an "AS IS" and "AS AVAILABLE" basis.

CFPWA works to keep the Service available, secure, and accurate, but makes no representations or warranties of any kind, express or implied, regarding the operation of the Service, uninterrupted access, error-free operation, availability, security, completeness, suitability, or accuracy of information provided.

To the fullest extent permitted by applicable law, CFPWA disclaims all warranties, including implied warranties of merchantability, fitness for a particular purpose, non-infringement, and any warranty arising from course of dealing or usage of trade.

Maintenance, cyber threats, hosting issues, network problems, third-party service failures, or force majeure events may affect availability.

12. Limitation of Liability

To the maximum extent permitted by law, CFPWA, its officers, directors, executives, committee members, employees, administrators, editors, representatives, member associations, affiliates, partners, contributors, service providers, and agents shall not be liable for any indirect, incidental, special, consequential, punitive, exemplary, or loss-of-data damages.

This includes loss of profits, goodwill, use, data, reputation, opportunity, or service availability, arising out of or connected to your access to, use of, inability to access, or reliance on the Service.

Nothing in these terms excludes liability that cannot legally be excluded.

13. Indemnification

You agree to defend, indemnify, and hold harmless CFPWA, its officers, directors, executives, committee members, employees, administrators, editors, representatives, member associations, affiliates, partners, contributors, service providers, and agents from and against any claims, damages, obligations, losses, liabilities, costs, expenses, or debt, including reasonable legal fees, arising from:

  • Your use or misuse of the Service.
  • Your violation of these Terms.
  • Your submitted content or information.
  • Your breach of confidentiality, privacy, copyright, operational security, or applicable law.
  • Your unauthorised use of another account, organisation name, identity, data, or resource.

14. Privacy

Personal information is handled as described in CFPWA's Privacy Policy.

By using the website, you acknowledge that CFPWA may process information needed to operate the site, protect users, manage accounts, handle inquiries, administer events, and maintain security.

15. Governing Law and Forum

CFPWA works across multiple Caribbean jurisdictions. Unless a mandatory local law provides otherwise, these Terms shall be governed by and construed in accordance with the laws applicable to CFPWA's authorised governance seat, Secretariat, or principal place of administration at the time a dispute arises, without regard to conflict-of-law provisions.

Where legally permitted, any legal action or proceeding arising under or relating to these Terms should first be addressed through good-faith communication with CFPWA at [email protected].

If court proceedings are required, they shall be brought in the courts of the jurisdiction of CFPWA's authorised governance seat, Secretariat, or principal place of administration, unless applicable law requires another forum.

16. Changes to These Terms

CFPWA may modify or replace these Terms at any time when the Service, laws, operational needs, security requirements, governance arrangements, or member services change.

If a revision is material, CFPWA will aim to provide at least 30 days' notice before the new terms take effect by posting the revised Terms on this page, updating the "Last updated" date, or providing another reasonable notice where appropriate.

By continuing to access or use the Service after revised Terms become effective, you agree to be bound by the revised Terms.
